When the client brings material to the factory, the factory can accept it into stock — assign a storage cell, record characteristics and quantity. After receipt, the material is visible to the client in their personal stock and can be attached to any future project, not only the current one.
What is recorded at intake
The «Add material» form is located in the order itself — the client fills it in when adding their material to the project. The following are filled in:
- Material type — panel, edge, fitting.
- Panel type (if a panel) — chipboard, MDF, fibreboard, glass, acrylic, etc.
- Material name — for display to the client (e.g., «Sonoma oak chipboard 16 mm»).
- Description — free text; usually used for distinctive features (scratch, chip, color) or the material’s origin.
- Length, Width, Thickness — actual dimensions in mm.
- Quantity — how many sheets/units.
- Currency and price — the project calculation uses price 0, but the field is often filled in for internal tracking (reporting).
- Waste number — an internal batch number for remainders, if you keep such records.
- Stock cell name — where it was placed physically (e.g., «A-12»); this is specified later by the administrator in the admin panel, not in the order form.
- «Supplied material» flag — for accounting; ticked when the material was indeed brought by the client (not left over from a past order).
Where the client sees their material
The «Client rests of materials» and «Materials rests of the Company» items (for remainders from past cuts) are located in the order menu — the «⋮» icon in the project header. The client opens the list of their positions, sees size, quantity, arrival date and storage cell. They can add the needed quantity to the project with the «Add» button.
What changes in the admin panel
Each client material position is a separate record in the factory stock, linked to the client’s id. In the admin panel:
- Viewing a client's stock remainders — the «Remains of sheet materials» page: the «By owner» filter shows the remainders of a specific client. There is no general table of all clients' remainders.
- Editing characteristics — if the client brought 5 sheets but it turned out to be 4, the quantity can be corrected.
- Write-off — if the client’s material has been fully used or the client picked it up, the position is written off.
- Return to the client — if the material needs to be physically returned, this is recorded in the issue log.
Accounting specifics
- The material price in calculation is 0. The client doesn’t pay for what they brought.
- Services (cutting, edging, operations) are charged at the factory’s rates; for client material the firm may set separate services and rates (cutting and edging of customer-supplied material) that differ from the regular ones.
- If the client’s material runs out during cutting — the system shows this in the calculation and proposes to buy the missing amount from the factory catalog (at the normal price).
- If the client material is in stock but the client explicitly chose «new sheet» in the project — the calculation uses the new sheet; the client material stays in stock untouched.
If the factory does not accept material into stock
Some factories don’t receive the client material into stock — the client brings it straight for cutting. In that case the client material is added directly into the project (via the «Add material» form on the panel card) but is not stored after cutting. Suitable for one-off orders.
