Firm catalog of goods: sheet materials, edges and fittings. List management, filters, sale modes, import. Available to firm administrators.
Section in the admin panel: Catalogue → Products.
What this is
The main register of all materials and components your firm works with: sheet materials (chipboard, MDF, facades, plastic), edges (PVC, ABS), fittings. Every product from here is further used in all calculations, orders, cutting programs and warehouse operations. If a product is not in this register — it will not appear in the customer calculator and will not be accepted for an order.
Who sees what
- Root firm administrator
- Sees the products of all firms on the platform (with a firm filter at the top), can create new products, edit any fields, connect/disconnect a product to a firm, delete. Deletion is possible only if the product is not used anywhere — otherwise the button is disabled and the reason is highlighted (for example "is in active orders", "linked to articles", "is in stock").
- Regular firm administrator
- Sees only the products connected to their firm. Can edit the local settings (for example, visibility in the customer calculator or own price), but cannot create new entries in the shared register — for that, address the platform administrator. A shared article cannot be deleted; it can be disconnected from your own firm.
Three product types (mutually exclusive)
On creation a product must belong to exactly one of the three types — this separates the calculation logic and the customer interface:
- Sheet material
- Sheet material: chipboard, MDF, facade panels, plastic, acrylic. Accounted for in square metres. Subjected to cutting into the parts of customer orders. Has a face/back side, grain direction, thickness.
- Edge
- Strip material: PVC edge, ABS edge, veneered edge. Accounted for in linear metres. Bound to the edges of parts when ordering edge banding.
- Fittings / item
- Piece-based components: hinges, runners, handles, legs, confirmats, clamps. Accounted for in pieces. Enter the calculation as "quantity per item" without cutting.
Four sheet-material selling modes
The same sheet material can be sold in four different ways — this determines how the price is calculated for the customer’s order.
- m² (actual square metres)
- The customer pays for the actual area of the parts. Best deal for the customer — offcuts and unused sheet area stay with the firm.
- Combined cutting
- Mixed billing mode. The total area of sheets that went into cutting is taken, useful offcuts are subtracted (they return to the firm’s stock). The remaining working area is split in two: whole sheets (fully filled with parts) — billed at sheet price; the last incomplete sheet — billed at m² price. The final price is the sum of the two parts.
- Enabled per firm in settings. There is also a minimum order-area threshold per material — below it, combined cutting is not applied and a normal m² calculation is used. For a specific material, combined cutting can be forced off in its goods card.
- Whole sheet
- The customer pays for every sheet used in full, even if only part of it is cut. The remaining sheet is taken by the customer or kept on the firm’s stock as “client material”.
- Horizontal half-sheet
- The sheet is physically cut in half along the horizontal axis, and the customer pays per used half. Useful for partial orders and for large-format materials hard to transport as a whole sheet.
Switching between modes in the calculator
Only the modes enabled for the current firm and material are shown in the customer’s calculator. If several modes are enabled, the customer picks one (for example, buying a whole sheet instead of m² billing); if only one is enabled, it is applied automatically. The chosen mode is locked into the project at calculation time and stays until the next recalculation.
Firm’s offcut stock (m² and combined cutting only)
For m² and combined-cutting modes, offcuts belong to the firm, not the customer. The system has fully automated offcut accounting built in:
- After cutting, offcuts larger than the minimum size set in the material’s firm card automatically become useful offcuts with their own code and dimensions.
- As soon as the machine operator checks the offcut in (physically confirms it exists), it becomes immediately available for the next orders — prioritised over whole sheets.
- Useful offcuts are visible in the material catalogue as a separate section and can be bought without cutting.
For whole-sheet and half-sheet modes, the offcut goes to the customer along with the purchased sheet/half — the firm does not track it.
Per-firm goods parameters in the admin panel
Each firm has its own goods card per material with parameters that override the base ones. They are set in the admin panel and directly affect the price calculation and the cutting algorithm:
- Cut geometry — sheet trim by length and width, saw kerf, cutting direction (along or across the grain).
- Useful offcuts — minimum offcut size on both axes, above which offcuts return to stock as useful pieces. Smaller ones are written off as waste.
- Firm-specific name — overrides the base goods name for this firm (for example, the firm sells a well-known decor under its own brand).
- Service exclusions — combined cutting, edge banding, cutting services and facing edge can be individually disabled for a specific material.
- Pre-jointing tool — the milling tool used for facing-plate pre-jointing; the machine is auto-detected from the chosen mill.
Changes in the goods card take effect immediately — all calculation and cutting algorithms see the new values right away.
Filters
The list is long (the platform has tens of thousands of articles, a single firm has hundreds). To quickly find the required product the filters in the top panel are used:
- By code — partial match with autocompletion (you enter part of the manufacturer's code — the system suggests similar ones). The search matches strictly the firm's material code — matches against the decor code are no longer included, so a short code is not "diluted" by dozens of unrelated decors. The most frequent way of searching.
- By name — search by name (for example "sonoma oak").
- By description — search inside the text description.
- By manufacturer — a list from the Manufacturers reference.
- By material type — choice from a hierarchical reference (sheet → chipboard → 16 mm; edge → PVC → 0.4 mm; fittings → hinges → overlay). The available categories depend on the selected product type (sheet/edge/fittings) — the system will not allow picking "edge" for a sheet product.
- By X / Y / Z dimensions — find a sheet or an edge with specific geometry (for example all sheets 2750 × 1830 mm, thickness 18 mm).
- By offcut status (drop) — filter for products moved to "markdown", "defect" or other non-standard statuses. Standard products without a flag are shown in the normal mode.
- By image availability — separate products with images (ready to be shown to the customer) from those without — usually needing refinement in the card.
- By firm connection — on the root account: show only those connected to a specific firm / only those not connected / all.
- By ID — direct jump to a specific record, bypassing the search.
Product card fields
- Manufacturer
- Required. The factory that produced the material. The source of the code and specifications.
- Name
- Full name, usually contains the manufacturer's code (see Manufacturers). When importing Excel the name is formed by a fixed formula — see Product import.
- Length / Width / Height (X / Y / Z)
- Dimensions in mm. For sheets — the sheet (2440×1830×16). For an edge — thickness and height (0.4×23, length is not critical). For fittings — may be 1×1×1 (symbolic).
- Unit of measure
- m², m, pcs, kg, package — determines how the product enters the price calculation and the material consumption.
- Material type
- Category from the shared hierarchical reference. Affects calculation rules (for example, a thin sheet is calculated differently from a solid one).
- Texture / direction
- Checkbox "material with direction" — for sheets with a grain or a geometric pattern, where parts must be placed "with the grain" during cutting. Affects the cutting optimizer.
- Drop / stock status
- Marks the product as discounted / defective / special. Affects visibility in the customer calculator and the price.
- Description
- Free text: characteristics, processing specifics, peculiarities of gluing/painting/cutting. Seen by managers and buyers.
- Images
- Several images per product: sheet photo, texture, colour, passport. The first one is used as a preview in the customer calculator.
- Properties
- Additional characteristics (heat resistance, moisture resistance, emission class, etc.) — for extended filtering and certification.
Actions in the list
- Create — button at the top. Only available to the root firm administrator (hidden on a regular firm).
- Open card — click on the row. Full editing of all fields, images, properties.
- Connect / disconnect to firm — toggle in the row. A connected product appears in the firm's catalogue and is available to its customers; a disconnected one — does not.
- Delete — icon at the end of the row. Possible only if the product is not used anywhere. If there are bindings (orders, warehouse records, catalogue articles, links to fittings) — the button is disabled, on hover the reason is shown. This protects against losing history.
- Highlight — when returning from a card, the updated product row is highlighted with a colour for several seconds — so that you do not lose your place in a long list.
What matters
- Product names must use the manufacturer's code, not local internal numbers. This rule is connected with the Manufacturers section and ensures compatibility with dealers, price list imports and exchange with an accounting system/CRM.
- The product type (sheet / edge / fittings) is chosen once at creation and is effectively not changed afterwards — it changes the whole calculation logic. If you made a mistake — it is better to create a new entry.
- The product image is not cosmetic. The customer in the calculator visually picks a material by the preview; without an image the choice goes to a competitor.
- Before mass-loading new products, use Product import — it is tens of times faster than creating one by one and covers image processing, Excel column mapping and duplicate handling.
- Drop statuses (markdown/defect) are a sensitive feature. A drop set by mistake hides the product from customers until removed. Check this when investigating complaints "where did material X go".
Reset the material cache
Every item in the list has a «Reset cache» button. Item data is cached, so right after edits in the card the orders and the site may keep showing the old values for a while. The button forces the item to be re-read from the database — the changes become visible immediately. The result arrives as a toast: either something was refreshed, or the cache was up to date anyway.
